Director of Operations: Position Description

 

Phoenix Charter Academy's mission is to challenge teenagers in our area with an academically rigorous and individually tailored curriculum. Specific Responsibilities

 

Facilities

  • Manage the facility (classrooms, offices, public spaces, etc.) so that it is clean, presentable, and in working order at all times.  
    • Manage custodial personnel.
    • Immediately troubleshoot problems that may arise.
  • Ensure proper functioning and maintenance of the heating, electrical, plumbing, roofing, and other building systems in collaboration with Everett Mills staff.
  • Maintain and uphold building safety systems in case of fire, lockdown, or other emergencies.
  • Design and oversee tracking systems of all school property including copiers, computers, fax machines, furniture, etc.

 

Operations

 

  • Ensure the creation and maintenance of accurate and current files for all invoices, receipts, deposits, HR paperwork, timesheets and other files as necessary.
  • Create and enforce school duties schedule with Director of School Culture and Fellows Program Manager. Enforce building coverage schedule with Director of School Culture.
  • Ensure that staff coverage is adequate daily, coordinating with all instructional and operational personnel as necessary.
  • Coordinate set-up for all state-mandated testing, with Head of School and Director of Curriculum and Instruction support, including MCAS, ACCESS, and NWEA, including ordering and processing materials, writing coverage schedules, etc.

 

 

Technology

  • Create and improve systems for technology including the procurement of necessary technologies and systems for classrooms
  • Keep inventory of all technology
  • Partner with LPS to ensure operations related to access to wireless are running effectively
  • Troubleshoot with LPS Helpdesk to resolve any technology related issues
  • Manage access to technology for students and staff (usernames, passwords, etc.)
  • Partner with LPS and blended learning resources to ensure technology is equipped with all software necessary to run blended learning classrooms

 

 

Head of School Support

  • Assist the Head of School with communication relating to regulation changes as communicated by LPS and follow up with deliverables with necessary parties
  • Track RACI deliverables during leadership team meetings and attend to follow through
  • Complete projects as directed by the Head of School.

 

School and Staff Culture

 

  • Internalize mission and make it central to all decisions and actions.

  • Communicate regularly with parents/adult supporters through phone calls, email.  correspondence, and/or in-person meetings.

 

Qualifications

 

  • BA required, (Masters preferred)
  • Three to Five years of experience preferred
  • Must have expert skills in Excel and preferably student databases (i.e. PowerSchool and Kickboard)
  • Must have strong attention to detail and demonstrate a commitment to accuracy
  • Manages time and priorities to accomplish multiple vital tasks in a limited time frame
  • A growth-mindset focused on learning and continually improving
  • Maintains a customer service mindset
